Privacy Policy

Last updated: October 11, 2026

This policy explains what information Automate Channels (Caleb Boxx, "we", "us") collects when you visit automatechannels.com, join our events, buy our products or use the member area, Caleb AI and our coaching tools; how we use and share it; and the choices you have.

1. Who we are

Automate Channels is operated by Automation Holdings LLC, doing business as Automate Channels ("we", "us", "our"). This policy explains what we collect when you use automatechannels.com and our member area, how we use it and the choices you have. Questions: contact@automatechannels.com.

2. Information we collect

Information you give us

  • Account and contact details: name, email, phone number, profile photo and bio, and your login details (passwords are stored only as secure hashes).
  • Purchases: what you bought, when, prices, billing name and address, and payment status. Card details go straight to our payment processor; we keep only a token, the card brand and the last four digits.
  • Forms and applications: survey and application answers, booking details, signed client agreements (name, signature, date and IP address) and onboarding details such as your channel links, niche ideas and the Gmail you use for VidEdge.
  • Community and support: posts, comments, chat messages, photos, voice notes and files you upload, homework, reviews and support emails.

Information collected automatically

  • Our visitor ID: a first-party cookie (ac_vid, kept up to about 13 months) with a random ID. With it we record the pages you visit, the link or ad that brought you (for example el, utm_, fbclid, gclid), your IP address, browser and approximate country, so we know which campaigns lead to sign-ups and purchases.
  • Advertising and analytics pixels (see section 5).
  • Member activity: lessons started and completed, video watch progress, live call attendance, and email/text delivery, opens and clicks.
  • Call recordings: live calls are recorded on Zoom. Recordings include the voices, names, chat and (if your camera is on) video of people on the call.
  • Caleb AI usage counts only: for Caleb AI we store how many times your connection was used each day and which tool was called. We do not store your questions, prompts, conversations or the answers. Your Caleb AI access key is stored only as a one-way hash.

YouTube and Google data (clients who connect a channel)

If you connect your YouTube channel with Google, we receive the data described in section 6.

3. How we use it

  • To create your account, deliver the events, products, subscriptions and coaching you buy, and give you support.
  • To process payments, installments and renewals, send receipts, and prevent fraud.
  • To send transactional messages (login links, receipts, event access, renewal reminders) and, with your consent, reminders and marketing by email and text.
  • To run live calls and provide replays, and to improve our trainings. Recordings of VIP Q&A calls may be transcribed into Caleb AI's knowledge base, with students labeled as "Student" rather than by name.
  • To track your channel progress as a coaching client (section 6).
  • To measure which ads and pages work, and to improve the site and our programs.
  • To enforce our Terms, keep the community safe, and comply with the law.

4. Who we share it with

We do not sell your personal information. We share it only with:

  • Service providers who run parts of our business for us, under contracts that limit their use of your data:
    • NMI and its banking partners: card payments.
    • Mailgun: email delivery.
    • Twilio and our SMS carriers: text messages.
    • Zoom: live calls and recordings.
    • Bunny.net: video hosting and streaming for lessons and replays.
    • Hetzner: the servers that host our site, our PostgreSQL database and our Redis cache (in data centers in the United States).
    • Google (Google Ads, Tag Manager), Meta, TikTok and Hotjar: advertising measurement and analytics (section 5). This never includes data we receive through Google sign-in (section 6).
    • FirstPromoter: tracking referrals from our affiliates.
  • VidEdge: for coaching clients, the Gmail address you give us for VidEdge, so VidEdge can apply your partner perks.
  • Our team and coaches who need it to support you, and other members, for things you post in the community or say on a recorded call.
  • Legal and safety: when the law requires it, to protect rights, property or safety, or to prevent fraud.
  • Business transfer: if the business is sold or merged, your information may transfer to the new owner under this policy.

We do not sell, rent or share your mobile number or SMS opt-in consent with third parties or affiliates for their marketing purposes. Phone numbers are shared only with the service providers that deliver our messages.

Caleb AI runs inside your own ChatGPT or Claude account. What you type there, and the answers Caleb AI returns, are handled by OpenAI or Anthropic under their privacy policies.

5. Cookies, pixels and advertising

Besides our own visitor-ID cookie, we use advertising and analytics tools from Meta (Facebook/Instagram Pixel and Conversions API), Google (Google Ads and Google Tag Manager), TikTok, Hotjar (anonymous heat maps and session recordings) and FirstPromoter. They may set their own cookies and receive event data, for example that a page was viewed or a purchase happened, sometimes with hashed (scrambled) contact details, so we can measure and improve our ads. Under some U.S. state laws this may count as "sharing" for targeted advertising.

  • You can block or delete cookies in your browser settings, and adjust ad preferences in your Meta, Google and TikTok accounts.
  • To opt out of this kind of sharing, email contact@automatechannels.com.
  • Our site does not currently respond to browser "Do Not Track" signals.

6. YouTube and Google user data

Coaching clients can choose to connect their YouTube channel with "Connect with Google" so they and their coaches can track the channel's progress. This is optional; we can also track a channel from its public page without it. Before the Google sign-in, we show you exactly what the team will be able to see, and you must tick a box confirming: "I allow the Automate Channels team to view my channel analytics and earnings so they can coach me." We record when you gave that consent.

What we access

We ask Google for read-only access with these scopes:

  • https://www.googleapis.com/auth/youtube.readonly: confirms which channel your Google account owns, plus your channel's basic details (ID, title, avatar, subscriber, view and video counts) and your uploads (titles, IDs, publish dates, durations, thumbnails and view, like and comment counts).
  • https://www.googleapis.com/auth/yt-analytics.readonly: your channel's YouTube Analytics (views, watch time, average view duration, subscribers gained and lost, traffic sources, audience retention, and viewer age, gender, country and device), for the whole channel and per video. We also use this access to set up YouTube Reporting API jobs for your channel's reach reports, which give daily thumbnail impressions and impressions click-through rate per video.
  • https://www.googleapis.com/auth/yt-analytics-monetary.readonly: your channel's estimated earnings (estimated revenue, estimated ad revenue, YouTube Premium revenue, CPM and playback-based CPM), only if you allow it. Earnings exist only for channels in the YouTube Partner Program.

We cannot upload, edit, delete or comment on anything, and we never see your Google password.

How we use it

Only to show you and your coaches your channel's progress inside the member area and our coaching tools, and to give you feedback on your content. We do not use it for advertising, we do not sell it, and we do not use it to train AI models.

Sharing

Your YouTube data is visible only to you and to the Automate Channels team members who coach you, which you approve with the consent box above. Earnings are shown only to team members whose role allows them to see financial information. We do not transfer your YouTube data to anyone else except as needed to host it (section 4), to comply with the law, or as part of a business transfer with notice to you.

Storage, retention and deletion

  • Google's refresh token is stored encrypted (AES-256-GCM). Channel stats, daily snapshots and daily reach figures (impressions and click-through rate) are stored in our database. Analytics and earnings reports are fetched live when a dashboard is opened and kept in a short-lived cache.
  • We re-confirm with Google every day that your authorization is still valid. If it has been revoked or has expired, or if it hasn't been re-confirmed for 30 days, we automatically delete the analytics and reach data we stored from it.
  • When you disconnect your channel (from your channels card) or remove it, we revoke our access at Google and delete the stored Google tokens, the reach data, the cached analytics and earnings, and the reporting jobs we created at YouTube. Public channel counts (subscribers and total views) may be kept as part of your coaching history.
  • If you close your account or ask us to delete your YouTube data, we delete the data we received from Google within 7 days.

Team members' Google Calendar

Our own team members (not clients) can connect their Google Calendar with the calendar.events, calendar.freebusy and calendar.calendarlist.readonly scopes, so calls you book on our site are added to their calendar and never double-booked. We only check their busy times and create, update or cancel the booking events we made; we don't read the contents of their other events. We store their encrypted refresh token, their Google account email, which calendars they picked and the IDs of the booking events we created. Disconnecting Google Calendar revokes our access at Google and deletes the token.

How to revoke access

Remove "Automate Channels" at myaccount.google.com/permissions (Google's security settings page, also at security.google.com/settings/security/permissions) at any time, or email contact@automatechannels.com and we will disconnect it for you. If you revoke access there, we delete the data we stored from it within 30 days (in practice the next day, when our daily check finds the access gone). YouTube data is also covered by the YouTube Terms of Service and the Google Privacy Policy.

Google API Services User Data Policy

Automate Channels' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we use this data only to provide the channel-tracking, coaching and booking features described above, we do not transfer it except as described above, we do not use it for advertising, and our people do not read it except with your permission, for security or to comply with the law.

7. How long we keep it

  • Account, purchase and community data: while your account is active, and afterwards as long as we need it for tax, accounting and legal reasons, to resolve disputes or to enforce our agreements.
  • Visitor and page-view records: as long as we need them for campaign reporting.
  • Call recordings: as long as the replay is offered to members, or the training content built from them is in use.
  • YouTube and Google data: see section 6.

8. How we protect it

We use encryption in transit (HTTPS), encrypted storage for sensitive tokens, hashed passwords and access keys, role-based staff permissions, audit logs and regular backups. No system is 100% secure, but if we learn of a breach that affects you, we will tell you as the law requires.

9. Your choices and rights

  • Emails: unsubscribe with the link in any marketing email.
  • Texts: reply STOP to any message to opt out, or HELP for help.
  • Your account: update your profile in Settings, and cancel subscriptions in Settings → Subscriptions.
  • Access, correction, deletion and copies: email contact@automatechannels.com from your account email to ask for a copy of your data, a correction, or deletion of your account and data. We will verify your identity first and reply within 30 days (or sooner if your local law requires). We may keep some records where the law requires it, for example payment records.

California and other U.S. states: you can ask to know, access, correct or delete your personal information and to opt out of "sharing" for targeted advertising. We won't treat you differently for using these rights. An authorized agent may make a request for you with your written permission.

EU, UK and similar laws: we process your data to perform our contract with you, with your consent (for example marketing texts and some cookies), and for our legitimate interests (running and improving our business, security). You can also object to or restrict processing, withdraw consent at any time, and complain to your local data protection authority. Your data is processed in the U.S. and other countries where our providers operate, using the safeguards the law allows.

10. Children

Our Services are for adults. They are not directed to children under 13 and we do not knowingly collect their information; you must be 18 or older to buy. If you think a child has given us personal information, email contact@automatechannels.com and we will delete it.

11. Changes to this policy

We may update this policy as our business changes. The "Last updated" date at the top shows the current version, and we will tell you about material changes on the site or by email.
